How to use these event-rental estimates

Start with seated dining, a standing or mixed reception, or a desired amount of canopy coverage. The calculator rounds quantities up so a partial table or canopy becomes a full rental item.

A calculator cannot account for every room, chair width, aisle, entrance, buffet line, accessibility requirement, surface, or weather condition. Measure the venue, confirm its rules, and share the layout before finalizing quantities.

  • Dining results separate guest tables from optional buffet, gift, dessert, and registration tables.
  • Cocktail-table results do not include seated chairs or dining tables.
  • Canopy results describe nominal footprint area only, not safe capacity or weather suitability.
  • Current products and prices come from the live catalogue; event-date availability is confirmed after your request.

Event rental planning questions

How many people fit at a 6-foot rectangular table?

Use 6 guests for comfortable dining, 8 for a standard event layout, or up to 10 only when tighter seating is appropriate for the table, chairs, and room.

Why does the calculator suggest extra chairs?

The optional chair buffer adds 8%, with a minimum of four chairs, for last-minute changes and flexible seating. Turn it off when your final count is fixed.

How are cocktail-table quantities estimated?

The standing-reception estimate uses one cocktail table per eight guests. The mixed-layout estimate uses one per twelve guests because some guests are expected to have separate seating.

Does a 10 × 10 canopy cover 100 square feet?

Its nominal footprint is 100 square feet. The coverage tool is for area planning only and does not determine safe occupancy, weather suitability, anchoring, permits, or structural requirements.
