Rental Terms
By accepting the quote, signing this agreement, or receiving the rental items, the customer agrees to these terms. These terms and the accepted quote form the complete agreement.
1. Rental period, payment, and cancellation
- The standard rental period is 24 hours from the delivery or pickup time in the quote, unless the quote says otherwise.
- The minimum order is 10 chairs (or the equivalent in other items) for delivery, and $10 in rentals for Courtice pickup.
- No deposit is required. Payment is due in full on the delivery day, or at pickup for Courtice pickup orders.
- The customer may cancel at no charge any time before the scheduled delivery or pickup.
- Changes to items, quantities, or times depend on availability and may change the price. They are confirmed only when we send an updated quote. If an item becomes unavailable, we may offer a comparable substitute, or the customer may cancel that item at no charge.
2. Responsibility for rental items
- The customer is responsible for all items from delivery or pickup until they are collected or returned.
- Items must be kept safe, supervised, dry, and protected from theft, misuse, damage, and bad weather.
- Items must only be used for their intended purpose. They must not be dragged, thrown, stood on, overloaded, altered, or placed on unstable ground.
- Check items at delivery and report any problem right away. Do not use an item that appears damaged or unsafe.
3. Damage, loss, and inspection
- The customer will be charged the reasonable cost of cleaning or repairing any damaged or stained item.
- The customer will be charged the replacement value below for any item that is lost, stolen, not returned, or cannot reasonably be repaired.
- Replacement values (per item):
- Kids chair $25 · White folding chair $25 · Resin padded chair $40
- 4 ft table $80 · 6 ft table $80 · Cocktail table $60
- Tablecloth $15
- 10 × 10 canopy (complete) $300 · 10 × 20 canopy (complete) $500 · Canopy sidewalls (set) $100
- Items not listed: current cost of the same or a comparable new item, including shipping and tax.
- Items are counted and inspected after collection or return. We will notify the customer of any issue within 48 hours, with photos where possible, and provide an itemized invoice. Extra charges are payable within 7 days of the invoice.
4. Delivery and access
- Standard delivery means unloading at one safe spot within 25 feet of our vehicle, such as a driveway, garage, loading area, or front entrance. It also includes backyard delivery, as long as the backyard is dolly accessible: a firm, clear path with no stairs and a gate wide enough for a loaded dolly.
- Standard delivery does not include carrying items into a house, up or down stairs, through elevators, over soft grass, gravel, mud, or steep slopes where a dolly can't safely roll, or along long walkways or areas without nearby parking.
- The customer must tell us about access conditions in advance and keep the route clear of pets, vehicles, and obstacles. Non-standard access must be approved in advance, and extra fees may apply.
- If access is unsafe or different from what was described, we may leave the items at the nearest safe spot, charge an approved extra fee, or decline the placement. Waiting time caused by blocked access or an unavailable contact may be charged.
5. Setup, teardown, and pickup preparation
- Setup, teardown, and placement are included only if listed in the quote. Otherwise the customer sets up and takes down all items.
- Before pickup:
- fold and stack chairs;
- clear, wipe, and fold tables;
- group linens and accessories;
- remove food, garbage, decorations, tape, and wax; and
- return everything to the original drop-off spot.
- If items are not ready, extra labour is charged at $20 per worker per hour (minimum $30). A second pickup trip is charged at the delivery fee in the quote.
6. Cleaning
- Normal cleaning is included.
- Items returned with excessive mud, food, grease, paint, wax, tape, adhesives, pet waste, smoke odour, or other residue are charged at $20 per hour (minimum $30), plus materials.
7. Late returns
- Items must be returned or ready for pickup at the agreed time.
- Late or inaccessible items may be charged an additional 24-hour rental period, plus extra transport and waiting time, until all items are returned or collected.
8. Weather
- The customer must protect items from rain, snow, wind, and severe weather. Weather damage while items are in the customer's care may be charged.
- We may delay or decline delivery, setup, or pickup if conditions are unsafe. In that case, we will offer a new time if available, or the customer may cancel at no charge. We are not responsible for any other costs caused by the delay.
9. Tents and canopies
- The customer must provide a suitable, level site and obtain any permission or permits required by the property owner, venue, or municipality.
- If staking into the ground, the customer must arrange utility locates through Ontario One Call and mark all private underground lines (sprinklers, septic, pool, gas, electrical). We are not responsible for damage to lines that were not located and marked.
- Tents and canopies must stay anchored at all times and must not be moved or have anchors removed. Customer-installed tents and canopies, including self-pickup orders, are the customer's sole responsibility.
- A tent is not a weather or emergency shelter. Everyone must leave the tent, and it must not be used, during lightning, thunderstorms, or wind gusts of 25 km/h or more. Customer-installed tents must be taken down when high wind is forecast.
- No open flames, heaters, barbecues, cooking, fireworks, or smoking under or near a tent. Do not hang heavy items from the frame. Keep exits clear.
10. Self-pickup
- For Courtice pickup orders, the customer loads, transports, and unloads items at their own risk, and returns them to the agreed location and time, prepared as described in section 5.
11. Liability
- The customer and their guests use the rental items at their own risk. The customer is responsible for supervising their use and for the safety of the event site.
- To the maximum extent permitted by law:
- Gather & Go Rentals, its owners, employees, and helpers are not liable for any injury, death, property damage, or loss arising from use or misuse of the items, customer setup or takedown, site or weather conditions, failure to follow these terms, or the acts of the customer, guests, or others;
- our total liability for any claim is limited to the amount paid for the rental; and
- we are not liable for indirect losses, such as event cancellation, venue or vendor costs, or lost income.
- We are not responsible for delays caused by events outside our control, such as severe weather, road closures, accidents, or vehicle breakdown.
- The customer agrees to indemnify Gather & Go Rentals against any claims, damages, or costs, including reasonable legal fees, brought by guests or third parties arising from the rental or event.
12. General
- This agreement is governed by the laws of Ontario. If any part is unenforceable, the rest remains in effect.
