Planning the right number of chairs and tables is one of the most important parts of event preparation. Too few seats and guests are left standing; too many and you waste money and space. Our free event seating calculator takes the guesswork out of planning by giving you instant, accurate results based on your guest count, table type, and desired comfort level.
For most events using 6ft folding tables, the standard rule is 6 guests per table for comfortable seating or up to 8 for standard spacing. A formal dinner may warrant spacious seating with 6 per table, while a casual backyard party can fit 8 comfortably. Our calculator adjusts for three comfort levels and automatically adds an 8% chair buffer (minimum 4 extra chairs) to ensure you always have enough seating.
Don't forget to account for additional tables beyond guest seating. Most events benefit from at least one extra table for buffet or food service. Gift tables, sign-in stations, and DJ equipment are other common needs. Our calculator includes optional toggles for these extras.

For a 6ft rectangular table, plan for 6 chairs for comfortable seating or up to 8 for standard seating. You can fit up to 10 in a tight arrangement. We always recommend adding an 8% buffer for extra seating needs.
We recommend at least 60 inches (5 feet) between tables for comfortable movement. If you have wheelchair accessibility needs, allow 72 inches. For buffet-style events, leave extra space near serving areas.
